General
Britam
wishes to undertake a project that will lead to the supply,
implementation, commissioning and maintenance of various IT Business
Applications that are suited to support the organization’s activities
and strategy.
Britam
now invites interested bidders with the capacity to supply, implement,
commission, and maintain suitable IT Business Applications as listed
under Section 1.4 of this RFP. Bidding is open to any interested party
who meets the criteria set out in Section 3.1.1 and 3.1.2 of this RFP.
Bids will be assessed based on the evaluation criteria set forth in
Section 3.3, under the legal jurisdiction of the Laws of Kenya.
Acquiring the RFP documents
Potential
bidders are advised to read this document, in its entirety, to
establish their interest in participating in this tender to supply,
install, commission and maintain IT Business Applications at Britam.
Technical
system requirements and standard forms, formats and templates are an
integral part of this document. In order to fully respond to this
tender, interested bidders are required to:
· Pay
a sum of Kshs twenty thousand (20,000) into the following account –
Account Name: Britam, Account Number: 01024300, Bank: Commercial Bank of
Africa, Branch: Wabera Street, Nairobi;
· Complete the above NDA, which must be signed by a duly authorised representative of the bidder; and
· Submit to Britam a scanned copy of the deposit slip (or proof of payment), and the signed NDA; by way of email to
project@britam.co.ke
The
above email will also serve as the bidder’s formal registration of
intent to respond to this tender and should include the following
information:
· Bidder’s name;
· Bidder’s area of expertise (brief outline, maximum of 70 words);
· Bidder’s legal registration address (including country); and
· Bidder’s primary contact person and alternative contact (email and telephone contacts).
Upon
receipt of the proof of payment, signed NDA and registration of
interest, Britam will send the following documents to the bidder via the
email address of the designated primary point of contact, as
confirmation of valid registration of the bidder’s interest:
· Receipt
for payment made (original copy may be collected from our Britam Head
Office, Mara / Ragati Road Junction, Upperhill, 5th Floor Reception);
· Detailed system requirements for all lots and systems included in this RFP (Section 1.4, Scope); and
· Standard forms, formats and templates to be used by bidders in preparing their proposal responses.
A
Pre-Bid meeting, where all interested bidders are invited to attend,
will be held in Nairobi, on Thursday, 6 June 2013, 09:30 East Africa
Time. Further details regarding the venue of the Pre-Bid meeting and
also the subsequent minutes of the Pre-Bid meeting will be communicated
via email to all validly registered interested bidders.
This
RFP has been issued for release on Tuesday, 28 May 2013 and closes on
Monday, 1 July 2013, 14:00, East Africa Time. Bids are required to be
physically submitted to Britam as prescribed in Section 3.2.3 of this
RFP document.
Bids
must be submitted on or before Bid Closure to qualify for evaluation.
Any bid (or information related to a partially submitted bid) that is
received after Bid Closure will not be considered for evaluation.
Bidders
are advised to ensure that their bid responses fully comply with all
requirements outlined under Section 3.1.1, 3.1.2 and 3.2.3 of this RFP
for their bid to be deemed responsive. This encompasses eligibility of
bidders, minimum response requirements and compliance with submission
requirements. Non-responsive bids will be eliminated at the preliminary
evaluation stage as outlined in Section 3.3.1.
